- Someone can do it once… but can’t do it consistently
- Someone can cope… until a small change knocks everything over
This isn’t about laziness, attitude, or intelligence.
Often, it’s an "executive function" (EF) problem.

Executive Function (EF): what it is in plain language
Executive function is the brain's "air traffic control system." It helps us manage competing demands, keep track of what matters, and adjust when life changes.
Think of EF as the set of skills that lets you:
- Hold information in mind while you work (like remembering the steps of a task)
- Pause impulses and stay on track (like not reacting instantly when frustrated)
- Shift gears when plans change (like moving from “I expected X” to “Okay, now we do Y”)
Harvard’s "Centre on the Developing Child" commonly describes three core EF skills:
- Working memory
- Inhibitory control
- Cognitive flexibility
If any one of these is under strain, the whole “air traffic control tower” can feel overloaded.

What EF looks like in real life
EF is not a test score—it’s the daily stuff:
Working memory shows up when…
- Following multi-step instructions
- Remembering what you’re doing mid-task
- Keeping track of time, items, or sequence
Inhibitory control shows up when…
- Waiting for your turn
- Stopping yourself from saying/doing the first impulse
- Staying calm long enough to use a coping strategy
Cognitive flexibility shows up when…
- Coping with changes in routine
- Shifting from one activity to another
- Adapting when something doesn’t go to plan
Key point: EF skills are interconnected. Struggle with one, and it can look like you struggle with another. Researchers caution that most EF tasks (and real-life situations) draw on multiple EF skills at once.
Understanding the Importance of Executive Functioning (EF) in Everyday Life
Executive functioning plays a crucial role in navigating communication, social interactions, learning, self-management, participation, and overall independence. For individuals with ADHD, ASD, or communication differences, challenges in these areas can significantly impact daily functioning.
EF skills encompass abilities such as maintaining focus, controlling impulses, shifting topics in conversations, and managing emotions in social settings. These skills are often vital for effective communication and social engagement.
When considering personal goals and development, EF closely aligns with the pursuit of independence and the development of essential life skills. Many support systems and programs emphasise the importance of developing skills related to choice and control, lifelong learning, relationships, and community involvement.
For professionals and caregivers, understanding EF can be key to helping individuals effectively utilise support and resources. It is essential to promote independence, decision-making, and resilience, empowering individuals to make choices that enhance their lives rather than making decisions on their behalf. Recognising and fostering EF skills can lead to improved outcomes and a more fulfilling experience in everyday activities.

When EF is strained, daily life feels like:
- “I can’t get started”
- “I forget what I’m doing”
- “I melt down when plans change”
- “I’m exhausted by simple things”
A helpful reframe is:

If you’re a Support Coordinator / Plan Manager / Allied Health
EF provides a practical, non-stigmatising model for:
- Understanding the “knowing → doing” gap
- Matching supports to function (not just diagnosis)
- Designing scaffolded participation goals and capacity-building routines
- Reducing conflict by shifting language from “non-compliance” to demand–capacity mismatch
It also gives you shared language with families:
- “Which EF skill is getting overloaded here?”
- “What scaffold helps right now?”
- “How do we fade support over time?”
Three “EF-first” supports you can trial this week
These are intentionally low-tech and high-leverage.
1) Make it visible (reduce working memory load)
- Put steps where the task happens (visual checklist on the wall)
- Use a single “Today Card”: top 3 priorities only
- Use timers as external time-keeping
2) Make it smaller (reduce initiation friction)
Convert tasks into a 3-step ladder:
- Step 1: “Open laptop” / “Put shoes on”
- Step 2: “Do 5 minutes”
- Step 3: “Finish the next small chunk”
Celebrate completion of Step 1 — that’s how initiation is trained.
3) Make it social (increase follow-through)
- Body-double: Do the task with someone present
- Short check-in: “What’s your first step?” then “What did you complete?”
- End with a 30-second debrief: “What worked? What blocked you?”
These work because they don’t demand “more willpower.” They change the system around the person so the EF “air traffic controller” isn’t overloaded.
Start with a “Today Card” (top 3 priorities) and a 10-minute timer. Make starting easier than avoiding.
