1. Who we are

The Solution Network Australia Foundation (Charity No. CH1535, ABN 47 753 667 350) (TSNAF) is an Australian charitable organisation.

TSNAF operates a range of programs and initiatives, including (without limitation):

  • The DARE Program and related programs and camps (DARE);
  • EliteEdge Football Academy and related programs and camps (EliteEdge);
  • High-Performance Player Camps, including HPPC25 and HPPC Mini Camps (HPPC);
  • Other sports, education and community programs delivered under TSNAF brands or in partnership with clubs, schools and professional organisations.

In this policy, we, us and our mean TSNAF and our EliteEdge and HPPC programs. You means any player, parent/guardian, website visitor or other person whose personal information we collect.

We manage personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. Scope – when this policy applies

This policy applies to personal information we collect in connection with:

  • Our websites, including (for example):
  • Online forms and registration systems (for example, enquiry forms, trial session forms, camp registrations, event ticketing and survey tools);
  • Email, SMS and social media communications with you;
  • Our in-person programs, events and camps, including EliteEdge and HPPC programs;
  • Any other interactions you have with us where we collect your personal information.

3. The types of personal information we collect

The personal information we collect will depend on how you interact with us. It may include:

3.1 Identity and contact details

  • Name, address, email, phone number;
  • Date of birth, gender;
  • Relationship to a player (for example, parent, guardian, emergency contact).

3.2 Player details

  • Age group, club and playing level;
  • Positions played, football experience and training goals;
  • Player assessments, test results, performance metrics, video or photo footage and coach feedback.

3.3 Health and safety information (sensitive information)

  • Relevant medical conditions (for example, asthma, allergies, previous injuries);
  • Medications, emergency treatment plans and accessibility needs;
  • Incident and injury reports from our programs or camps.

3.4 Program and transactional information

  • Programs, camps and sessions you register for or attend;
  • Payment and billing information (for example, transaction references, payment method – we do not normally store full card details as these are processed by secure third-party providers);
  • Attendance records and communication preferences.

3.5 Online usage, cookies and technical data

  • IP address, device and browser type, pages viewed and interactions with our websites;
  • Information from cookies, pixels and similar technologies used for analytics and, where enabled, online marketing;
  • Information from third-party platforms (for example, online form providers, event ticketing platforms, analytics and advertising services) that relates to your use of our sites or forms.

3.6 Other information you choose to provide

  • Responses to surveys or feedback forms;
  • Information you give us when you contact us with a question, compliment or complaint.

4. How we collect personal information

We collect personal information in several ways, including:

4.1 Directly from you (or your parent/guardian)

  • When you complete an online form (for example, enquiry, trial session, camp registration, mailing list signup);
  • When you email, message or call us;
  • When you speak with coaches or staff at a program or camp;
  • When you participate in testing, assessments, interviews or feedback sessions.

4.2 From a parent or legal guardian about a child

Our programs are designed for children and young people. We generally collect a child’s personal information from their parent or legal guardian, rather than directly from the child. Parents/guardians provide this information when completing registration and other forms on the child’s behalf.

4.3 From our partners and service providers

  • Online form providers and event/ticketing platforms;
  • Coaching partners and professional clubs, academies or schools we collaborate with;
  • Technology service providers including analytics, email/SMS and video hosting platforms.

4.4 Automatically when you use our websites

We may collect information automatically through cookies, pixels, log files and similar technologies that provide information about how you use our websites and forms.

Where practicable and lawful, you may choose to interact with us anonymously or using a nickname (for example, when making a general enquiry that does not require player details). Where we need personal information (for example, to safely deliver a camp), we may not be able to provide our services if you do not provide the information requested.

5. Why we collect, use and disclose personal information

We collect, use and disclose personal information for purposes including:

5.1 Program delivery and administration

  • Managing enquiries, registrations, waitlists and payments;
  • Planning groups, schedules and coaching resources;
  • Delivering training sessions, camps and related activities;
  • Monitoring attendance and program engagement.

5.2 Player development and safety

  • Understanding players’ goals, experience and needs;
  • Conducting and recording assessments, testing and feedback;
  • Managing health, safety and wellbeing, including responding to injuries and incidents;
  • Communicating with parents/guardians about a player’s participation, progress and any issues.

5.3 Pathways and opportunities

  • Identifying players who may benefit from additional development opportunities;
  • Sharing relevant performance information and footage with trusted pathway partners (for example, professional clubs or academies we work with), where appropriate and consistent with this policy.

5.4 Communication and marketing (direct marketing)

  • Providing program updates, logistics and important notices;
  • Sending information about new programs, camps, events and opportunities that may be of interest, where permitted by the Privacy Act and the Spam Act;
  • Managing mailing lists and marketing preferences, including honouring unsubscribe requests.

5.5 Improving our services and websites

  • Analysing program participation and feedback to improve offerings;
  • Understanding how people use our websites and forms to improve user experience and content.

5.6 Legal, regulatory and risk management

  • Meeting our reporting, insurance, safeguarding and child-safety obligations;
  • Preventing or investigating suspected fraud, misconduct or safety issues;
  • Handling complaints and disputes;
  • As otherwise required or authorised by law.

6. Sensitive information (including health information)

Health information (for example, medical conditions, injuries or treatment plans) is a form of “sensitive information” under the Privacy Act. We generally only collect this information:

  • From a parent or legal guardian of a child participant;
  • Where it is reasonably necessary for us to deliver our programs safely, manage risk and comply with our duty of care;
  • With your consent (or, in the case of a child, with the parent/guardian’s consent).

We use sensitive information only for the purposes described when it is collected or as otherwise permitted by law (for example, to respond to a serious threat to life, health or safety).

7. Children and young people

(a) Our programs are designed for children and young people (for example, U9–U16 players).

(b) We expect all online registration and medical forms for children to be completed by a parent or legal guardian who is over 18.

(c) We do not knowingly collect personal information directly from a child under 13 via our websites without the involvement of their parent or guardian.

(d) We aim to explain our privacy practices in language that parents and young people can understand, and we encourage parents to discuss this policy with their children.

(e) Where appropriate, we will involve children in decisions about their personal information, taking into account their age, maturity and level of understanding.

8. Direct marketing and opting out

We may use your contact details to send you information about our programs, camps and related opportunities that we believe may be of interest.

We will only send commercial electronic messages (for example, marketing email or SMS) in accordance with the Spam Act 2003 (Cth), including where we have your consent and each message clearly identifies us and includes a simple, functional unsubscribe option.

You can opt out of marketing communications at any time by using the unsubscribe link in an email, replying to an SMS as instructed, or contacting us directly.

Opting out of marketing will not stop important administrative communications about a program you or your child are registered for.

9. Cookies, tracking technologies and analytics

Our websites and forms may use cookies, pixels, scripts and similar technologies to:

  • Remember preferences and improve site functionality;
  • Measure traffic and usage patterns;
  • Help us understand which content is useful to visitors;
  • Support, where enabled, online advertising and remarketing.

Some of these tools are provided by third parties (for example, analytics and advertising service providers). These third parties may collect or receive information from our sites and use it to provide us with reports or to deliver advertising.

You can usually control cookies through your browser settings, including blocking or deleting them. If you disable certain cookies, some features of our sites may not work as intended.

Where required by law, we will seek your consent before using certain cookies or similar technologies for advertising or advanced analytics.

10. When we disclose personal information

We may disclose personal information to:

  • Our staff, coaches and volunteers, to the extent they need it to carry out their role;
  • Pathway partners, professional clubs and academies we work with (for example, to identify development opportunities for players), in a way consistent with the purposes described in this policy;
  • Service providers who assist us with:
    • Online forms and event/ticketing;
    • Payment processing;
    • Website hosting and cloud services;
    • Email/SMS and marketing tools;
    • Data analytics and IT support;
    • Insurance, legal and professional advice.
  • Schools, clubs or community organisations involved in a joint program;
  • Emergency services, medical practitioners or insurers in the event of an accident, injury or emergency;
  • Regulators, law enforcement or other parties where required or authorised by law.

We require our service providers to handle personal information in a way that is consistent with this policy and the Privacy Act.

11. Cross-border disclosure

Some of our service providers may store or process personal information outside Australia (for example, in data centres located overseas). Where this occurs, we take reasonable steps to ensure that these providers protect your information in accordance with the standards required by Australian privacy law, including through appropriate contractual arrangements.

12. Security of personal information

We take reasonable steps to protect personal information we hold from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps may include:

  • Secure systems and devices;
  • Access controls and staff training;
  • Data minimisation and retention limits;
  • Use of reputable, security-conscious service providers.

No system can be guaranteed as completely secure. We encourage you to contact us immediately if you become aware of any security incident involving your personal information.

13. Data retention

We keep personal information only for as long as it is needed for the purposes described in this policy or as required by law (for example, child-safety, health and tax record-keeping obligations). When information is no longer required, we will take reasonable steps to de-identify or securely destroy it.

14. Access to and correction of personal information

You can request access to personal information we hold about you (or your child) and ask us to correct it if you believe it is inaccurate, out-of-date, incomplete, irrelevant or misleading.

We may need to verify your identity and your relationship to the player before providing access or making corrections.

In some cases we may refuse access or correction where permitted or required by law. If we do, we will write to you explaining why and how you can complain.

We do not charge for making a request, but may charge reasonable costs for locating and providing access to information, where appropriate.
